Executive Administrator

Key purpose of the role

The Executive Administrator will provide administrative support to senior executives, generally helping to implement their vision within the company.

Overall responsibility is to ensure attending to the executive administration function on a day-to-day basis and tackling problems successfully and in a highly professional manner.

Key outputs/accountability
  • Schedule and manage the diaries of some of the executive team members.
  • Manage information flow in a timely and accurate manner.
  • Maintain confidentiality and ensure the security of sensitive information.
  • Consolidate and review management reports on a regular basis as per Group requirements
  • Planning and coordinating meetings and workshops
  • Prepare meeting agenda and packs.
  • Take minutes of meetings when required and keep records. Follow up on action items and ensure timely completion.
  • Develop and design presentations for executive meetings (internal and external), ensuring they are visually appealing and convey the necessary information effectively.
  • Working with leadership to deliver, monitor and communicate progress towards goals
  • Provide support, coordination and follow up on a variety of projects
  • Responding to inquiries on behalf of the executive team members where needed
  • Upkeep of tasks lists
  • Manage various SLAs regarding service delivery
  • Ability to conduct research for the executive team, as and when needed
  • Overseeing/ Coordinating strategic business initiatives from ideation to implementation
  • In charge of implementing and managing group-wide initiatives and programs within the relevant scope of work.
  • Providing senior leaders with insight and guidance on the company’s operations within the relevant scope of work
  • Put together PowerPoint presentations
  • Assist in collating information from various members to create monthly Exco Reports and Quarterly Board Reports with assistance from the Intelligence team, in accordance with Group requirements.
  • Screen and direct phone calls and distribute correspondence
  • Handle travel and accommodation arrangements both local and international including itineraries
  • Maintain and update records, databases, and filing systems, ensuring accuracy and confidentiality.
Educational qualifications
  • Matric (Grade 12)
  • A BCom degree or degree in business administration, communications or related field
Required knowledge and experience
  • Minimum seven-plus years’ experience working with senior executives, media industry experience is advantageous
  • Proven experience in a business management role, with a special focus on executive-level advising and interdepartmental collaboration.
  • Advanced skills MS Office, Excel, PowerPoint, Outlook
  • Proficiency in Apple/macOS
  • Proven ability to use a variety of multimedia communication tools
