Key responsibilities:
Strategic process optimisation and efficiency improvement:
- Identify and implement strategic opportunities to adjust and revise work processes to maximize efficiency and productivity across all departments.
- Develop and enforce standardised production frameworks and workflows to streamline campaign execution.
- Conduct thorough process audits and implement innovative solutions to eliminate bottlenecks and inefficiencies.
- Establish and monitor KPIs to measure production efficiency and drive data-driven improvements.
- Manage the end-to-end lifecycle of digital advertising campaigns, from initial briefing to final execution and optimisation.
- Develop detailed project plans, timelines, and budgets, ensuring alignment with client objectives and resource availability.
- Lead daily production meetings to ensure clear communication, alignment on priorities, and proactive problem-solving.
- Oversee the management of Monday.com project management boards, ensuring accurate task tracking and progress monitoring.
- Ensure all project scope documentation, campaign briefing documents, and tech project scopes are thoroughly understood and executed.
- Proactively identify and mitigate potential project risks, ensuring timely and successful campaign delivery.
- Create and manage detailed production schedules and timelines, ensuring adherence to deadlines and quality standards.
- Inform project teams of any updates, challenges, risks and changes as and when they occur.
- Serve as the primary point of contact for internal stakeholders, including account managers, paid media specialists, and creative teams.
- Ensure clear and consistent communication regarding campaign status, timelines, and potential issues.
- Manage internal client communication regarding campaign production statuses.
- Ensure all reports are completed and sent out in a timely manner.
- Attend meetings and accurately brief requirements to the Command Centre.
- Ensure accurate tracking of project budgets, POs, invoicing, overtime, NDAs, SLAs, and MOAs.
- Maintain clear communication with finance/accounts regarding financial matters.
- Oversee facilities management and communication with suppliers.
- Provide leadership and mentorship to the production team, fostering a collaborative and high-performing environment.
- Develop and implement training programs to enhance team skills and knowledge.
- Conduct regular performance reviews and provide constructive feedback.
- Assist with new staff onboarding.
- Ensure staff are Facebook and Google certified.
- Assist with development of new staff Skills Development Roadmaps.
- Schedule internal and external meetings with staff and clients when necessary.
- Ensure campaigns are briefed, launched, and optimised according to client requirements and best practices.
- Oversee the booking and execution of weekly campaign optimisation tasks.
- Check Briefing documents are correct before sending them to Command Centre.
- Prepare daily priority lists, weekly project status reports and project budgets.
- Minimum five-plus years of experience in production management, project management, or traffic coordination within a fast-paced digital advertising environment.
- Proven track record of successfully managing complex digital advertising campaigns.
- Strong understanding of digital advertising platforms, technologies, and best practices (Google Ads, Facebook Ads, etc.).
- Expert proficiency in project management tools and methodologies (ZOHO) expertise highly advantageous).
- Business management qualification or equivalent.
- Demonstrated ability to develop and implement efficient production workflows and processes.
- Exceptional interpersonal, communication, and leadership skills.
- Strong analytical and problem-solving abilities.
- Ability to thrive in a high-pressure, deadline-driven environment.
- Operational experience in a fast-paced digital environment.
- Detail-oriented and highly organized.
- Ability to multitask and prioritise effectively.
- Proven experience in implementing and enforcing new processes.
