Responsibilities

• Support the smooth running of the reservations department, where all aspects of the guest journey and experience are delivered to the highest level.
• Work as part of a team that maximises guest satisfaction and comfort, delivering a positive and timely response to guest enquiries and problem resolution.
• Take responsibility for the duties and tasks assigned to the role, ensuring that all work is carried out in a timely and professional manner.
• Deliver on departmental plans and objectives, where hotel initiatives and targets are achieved.
• Collaborate with their immediate report, ensuring that costs and inventory are controlled, and that productivity and performance levels are attained.
• Build and maintain effective working relationships whilst promoting the company culture and values.
• Ensure adherence and compliance to all legislation where due diligence requirements and best practice activities are planned, delivered, and documented for internal and external audit, performing follow-up as required.
• Maximise hotel revenue and guest satisfaction.
• Handle and process guest reservations.
• Maintain the hotel systems and files.
• Be proactive when selling bedrooms and conferencing venues to maximise hotel revenue and guest satisfaction.
• Handle incoming calls and emails for accommodation.
• Respond to all enquiries in a timely manner.
• Process all guest information using the hotel computer systems.
• Maintain up-to-date knowledge on sales strategies, rates, products, packages, facilities, and inventory at all times.
• Sell our products and services to meet guests' needs in line with our concepts, focusing on hotel profit.
• Follow up on no-shows, commissions, and loyalty programmes.
• Build and maintain strong working relationships with hotel staff as well as agents, bookers, and regular guests.
• Train and develop reservations agents and the meetings and events coordinator.
• Manage the inventory for both rooms and conferencing venues.

Requirements of the reservations manager

• Experience in reservations is beneficial but not essential.
• Hands-on approach with a can-do work style.
• Commitment to delivering exceptional guest service with a passion for the hospitality industry.
• Ability to find creative solutions and take ownership of duties and tasks assigned.
• Personal integrity, with the ability to work in an environment that demands excellence.
• Experience of working with IT systems on various platforms.
• Strong communication skills.
• Knowledge of EMMA is advantageous.
