The operations coordinator will play a crucial role in ensuring the smooth execution of operational activities. This role involves coordinating and supporting the development of new tech solutions and their implementation across multiple use-case environments. The operations coordinator will work closely with cross-functional teams, including product development, implementation, and partner support, to ensure that contracts are delivered on time, within scope, and with high quality.
This is a full-time role on a 1-year contract, with the option for renewal based on performance and funding. The salary for this position will be determined based on the candidate's experience and qualifications, as well as our internal guidelines.
Responsibilities: - Providing administrative and logistics support to the chief operating officer.
- Monitoring and mapping operational processes to highlight bottlenecks and support smooth and efficient delivery.
- Monitoring and ensuring resource capacity to support delivery and planning of project work.
- Maintaining open and transparent relationships with key role players within OCL to gather or provide critical information for decision-making and planning.
- Creating tools and reference documents to support operational effectiveness and accurate record-keeping.
- Fulfilling this role according to OCL’s aspirational culture, leadership brand and work ethos.
- Growing professionally and developing personal competence to fulfil this role in a rapidly scaling and increasingly impactful organisation.
Qualifications:- Bachelor’s degree in administration or equivalent experience.
- Project management certification is advantageous.
Skills and technical expertise:- Knowledge of the civic tech environment is advantageous.
- Knowledge of the NPO environment is advantageous.
- Strong organisational and time management skills and the ability to prioritise and manage multiple deliveries concurrently.
- Excellent communication and relationship-building skills.
- The ability to deal calmly with emergencies, to develop plans to solve problems and to make good decisions under pressure.
- Assertiveness in a diverse context.
- Ability to work remotely.
- Knowledge of and experience working with Notion, Slack, Microsoft, Google Suite, Toggl etc. would be an advantage.
- A basic digital vocabulary and the ability to understand and learn about technical concepts.
Experience:- Operations coordinator experience in a tech environment.
- Project management experience is advantageous.
- Demonstrable ability to meet deadlines and promote excellent results.
- Experience documenting processes and reporting internally.
- Experience implementing systems and processes within an organisation.
